1. Information We Collect
Depending on the service you use, we may collect:
A. Microchip Registration & Pet Reunification
- Your name and contact details (email, address, phone numbers)
- Pet details (such as name, species, breed, colour, and medical or care notes you choose to provide)
- Emergency contact details
- Pet’s microchip number and missing pet reports
B. Smart Pet Tags
- Pet details (such as name, species, breed, colour, and medical or care notes you choose to provide)
- Owner or guardian contact details (such as name, phone number, email address)
- Emergency contact details (if provided)
- Tag ID and scan activity (for example, date, time, and approximate location of a scan)
C. Pet Insurance Quotes
- Your name and postcode
- Information about your pet (e.g., name, breed, age)
- Your site usage data (how you interact with our services)
D. Implanters & Authorised Persons
- Name
- Photographic proof of identity
- Proof of address
- RCVS number, breeder licence number, or charity ID (where relevant)
E. Device & Browser Data

You do not have to provide your personal data, but without it we may not be able to provide some services or respond to your requests.
2. How We Use Your Data
We use your personal and pet details to provide our services safely, effectively, and in line with legal requirements.
Microchip Registration & Pet Reunification
- Registration – we record your contact details alongside your pet's microchip number in our secure database.
- Example: If you register your dog "Bella," her chip number and your phone number will be stored together so she can be identified if found.
- Pet reunification – if your pet is lost, we may share your contact details with vets, wardens, rescue centres, or other authorised parties.
- Example: If Bella is picked up by a local dog warden, we can securely provide them with your phone number so they can call you directly.
- Legal compliance – we must meet DEFRA requirements (England & Wales) and Scottish legislation, including keeping microchip records for a set period.
- Customer support – helping you manage your account, update details (e.g., new address), or resolve issues.
Smart Pet Tags
We only display the information that you choose to make visible through your account settings.
- Pet Reunification – if your pet is lost, we'll display appropriate pet and contact information when a tag is scanned, enabling someone who finds your pet to contact you or your nominated emergency contact. This supports lost-pet recovery services, including notifications or alerts.
- Example - If your dog is wearing a smart pet tag and goes missing, a member of the public can scan the tag using their smartphone. The scan may show your dog's name and a contact phone number you have chosen to share. The scanner does not see your full address or any information you have marked as private. The scan event is logged so we can help support recovery and improve our service.
- Security - Maintain the security, functionality, and performance of the smart tag service.
- Legal Compliance - Comply with legal and regulatory obligations.
Pet Insurance Quotes
- Quote requests – we use the details you give us about yourself and your pet to allow redirection and pre-population of regulated insurance provider's quote and buy journey.
- Example: If you tell us Bella is a 3-year-old Labrador, we'll send her details (and your details) securely to our insurer partners to pre-populate their quote and buy journey.
- Insurance provider processing – once your details are passed to an insurance provider, they will collect your details as a data controller in their own right. They will use your information to prepare your quote, check your eligibility, and, if you buy a policy, to arrange and manage your insurance.
- Example: If you select a policy with Insurance Provider A, they will keep your details and contact you directly about your quote or cover.
- Service improvement – we analyse anonymised and aggregated data from quote journeys.
- Example: We may track how many customers get quotes for cats vs. dogs to improve the services we offer.
- Marketing (where permitted) – if you give consent, we may send you updates, reminders, or offers about our and our partners' products and services. This may include communications delivered via Tailster Perks, a rewards and offers programme operated by JPLC Limited, using your PetDatabase account information where you have provided appropriate consent. Insurance providers may contact you directly about your quote or policy in accordance with their own privacy notices. PetDatabase will only send you marketing communications where you have provided consent through your PetDatabase account.
- Example: We may email you a reminder that Bella's policy is due for renewal.
- Fraud prevention & misuse – monitoring unusual or suspicious activity.
- Example: If multiple users repeatedly enter false pet data, we may block that activity to protect our service and insurer partners.
Postal marketing – we may use your name and postal address to send you postal communications about Pet Database. This includes:
- Membership leaflet (legitimate interests) – we may send you a membership leaflet by post. Our lawful basis is legitimate interests (promoting our services and growing our membership). You can object at any time (see Section 6: Your Rights).
- General postal marketing (consent) – we will only send you general marketing by post where you have given us consent . You can withdraw your consent at any time (see Section 6: Your Rights).
General Service Use
- Website functionality – making sure the site works smoothly and securely.
- Analytics – monitoring usage trends (e.g., most common quote times of day) to improve the customer experience.
- Personalisation – tailoring content, offers, or reminders so they're more relevant to you.
3. Lawful Bases for Processing
We only use your data where the law allows us to. Depending on the activity, this may include:
- Performance of a contract
- Registering your pet's microchip.
- Providing you with insurance quotes at your request.
- Consent
- Marketing – we send electronic marketing (email, SMS, push notifications) only where you have given consent , and we send general postal marketing only where you have given consent . You can withdraw your consent at any time (see Section 6).
- Legitimate interests
- Improving and personalising our services; preventing fraud and misuse
- Sending the Monthly Membership leaflet by post. Where we rely on legitimate interests for the Membership leaflet, we consider the impact on your privacy and you can object at any time (see Section 6).
- Legal obligations
- Meeting DEFRA's microchipping regulations and devolved legislation in Scotland.
- Complying with FCA rules for insurance distribution.
- Responding to lawful requests from regulators or enforcement bodies.
4. Who We Share Your Data With
We may share your information with:
- FCA-authorised insurance providers on our comparison panel to provide quotes
- Veterinary practices, rescues, wardens and volunteer networks for pet reunification purposes
- Service providers (hosting, email, customer service, analytics)
- Mailing and fulfilment providers who print and post the Membership leaflet and (where you have consented) other general postal marketing on our behalf (they act as data processors and may only use your data to provide these services to us)
- Professional advisers (lawyers, accountants)
- Government and regulatory bodies (where legally required)
- Advertising partners to serve relevant ads (subject to your cookie settings)
We require all third parties to handle your data securely and use it only for the agreed purpose.
5. Data Retention
We keep your personal data only for as long as necessary:
- Insurance quote data – up to 30 days unless a longer period is required by law
- Microchip registration data – for the duration required under UK and devolved government regulations, including DEFRA and Scottish rules
Once no longer required, your data will be securely deleted or anonymised.
6. Your Rights
Under UK GDPR, you have the right to:
- Be informed about how your data is used
- Access the data we hold about you
- Request corrections or deletion
- Restrict or object to certain processing

You can manage your marketing preferences by logging into your account or using the unsubscribe link in our emails. 7. Automated Decision-Making & Profiling
We do not make decisions solely using automated systems. A human always reviews important decisions.
We may group users with similar profiles (e.g., pet type, location) to improve recommendations and marketing.

Our services are not intended for children under 18. We do not knowingly collect their personal data.

We use appropriate security measures to protect your personal data. While no online system is 100% secure, we regularly review our safeguards.
